What Shapes the Cost

Every function is different, so we quote every one individually. These are the things that move the number, so you can build a budget before you even talk to us.

Hours and Days

A half-day reception and a three-day conference are different animals. Coverage hours are typically the biggest single factor.

Rooms Running at Once

Keynotes rarely compete with anything. Concurrent breakouts are the real question, and one person can cover more rooms at once than most people expect. We go through your schedule in advance and tell you exactly what your coverage needs.

Headshot Station

Priced by volume and by half or full day. Attaches cleanly to any event.

Turnaround

Edited images inside 48 hours as standard. 24-hour delivery is available, as are key images sent straight from the camera during the event.

Live Delivery

Selects pushed to your team while the event is still running, so comms can post in real time. It is a premium offering and one we handle routinely.

Video

We have a great roster of videographers and can bring in exactly the right one for what you need, rather than making you source it yourself.

The things planners ask us most, answered before you have to ask.

Can you send photos during the event so our team can post in real time?

Yes, and we do it routinely. Depending on connectivity, we can push key images straight from the camera to a shared folder while the event is still running, so your comms team can post the keynote while people are still in the room. Ask about availability when you send us your dates.

Will you get our sponsors and their branding?

Absolutely. Sponsors paid for visibility, so we make sure the booth activity, the branded moments, and the logo placements are covered properly. We seek out these shots without you asking. Your sponsors usually end up wanting those shots for their own marketing, which makes next year's sponsorships easier to sell.

What happens if the schedule changes on the day?

Agendas move, keynotes run long, sessions get swapped. We build a plan from your run-of-show so we know what matters most, and when something shifts we adjust without needing to be managed. If two things you care about end up colliding, you hear about it from us before it happens.

How fast do we get the images?

Edited images land inside 48 hours as standard. If you need them sooner, 24-hour delivery is available. And if your social team needs to post while the event is still happening, we can usually send key images straight from the camera to a shared folder in real time.

Can you cover multiple rooms at once?

More than most people expect. Keynotes rarely compete with anything else, and we can work concurrent breakouts far more effectively than a single-room assumption suggests. We go through your schedule in advance to help you decide exactly what your event needs. If a second shooter genuinely adds value, we bring in the right photographer from our roster, people we have worked with for years, and you still get one point of contact, one consistent edit, and one gallery.

We're bringing our conference in from out of state. Can you help?

That is most of what we do. We know the venues, the load-in quirks, and where the good light is in the ballrooms across Austin, Dallas, Houston, and San Antonio. You should not have to project-manage your photographer from another time zone.

Who owns the images?

Usage rights for the way you need them come standard. Decks, your website, next year's marketing, and anywhere else you need them.

What does it cost?

It depends largely on hours on-site, any concurrent coverage needs, and whether you want to include a headshot station. Send us the dates and the agenda and we will get you real options, typically within 24 hours.
